Exam Form Photo, Signature and Document Size Chart (2026)

One table with the photo, signature and PDF size limits for SSC, UPSC, IBPS, NEET, NSP, Passport Seva and more, with free tools to hit each limit.

By the PDFToast team · Updated 15 October 2026

Short answer: most Indian exam portals want the photo as a JPG of about 20–50 KB, the signature as a JPG of about 10–20 KB, and certificates as PDFs between 50 and 300 KB. The exact numbers, and sometimes the exact pixel size, differ by exam. Use the table below, then confirm in your own notification.

Checked on 15 October 2026. Limits change every cycle. If your notice says something different, the notice wins.

Photo and signature limits

Exam / portal Photo Signature Source
SSC (CGL, CHSL, MTS…) JPG, 20–50 KB JPG, 10–20 KB PW
IBPS (PO, Clerk, RRB) 200 × 230 px, 20–50 KB 140 × 60 px, 10–20 KB PracticeMock
IBPS handwritten declaration 50–100 KB — PracticeMock
UPSC 350 × 350 px (approx.), 20–300 KB 350 × 350 px (approx.), 20–300 KB Vajiram
NEET (NTA) Postcard-size photo, 10–200 KB Per notice PW
Teletalk (Bangladesh) 300 × 300 px, up to 100 KB 300 × 80 px, up to 60 KB Teamz Lab

Do it in one step: the exam photo & signature resizer has presets for SSC, UPSC, IBPS and Teletalk. It sets the exact pixels and lands inside the KB range, including the minimum. Your photo is never uploaded.

Document (PDF) limits

Exam / portal Documents Limit Source
UPSC (OTR, DAF) Certificates PDF, 50–300 KB Vajiram
NEET Category certificate PDF, 50–300 KB Careers360
National Scholarship Portal Each document PDF, under 200 KB indiascholarships.in
Passport Seva All uploaded documents PDF, 1 MB total pdf.it.com

Tools for each limit: Compress PDF to 300 KB · to 200 KB · to 100 KB · to 1 MB

The three checks every portal makes

  1. File type. JPG/JPEG for photos and signatures, PDF for documents. A PNG renamed to .jpg can still be rejected.
  2. Pixel size. When the notice gives pixels (like 200 × 230), the image must match exactly. Our resizer crops to fill by default, so check that your face is centred.
  3. File size in KB, both ways. Too big and too small are both rejected. Signatures on white paper are naturally tiny, which is why so many applicants hit the “minimum 10 KB” error.

Common errors and fixes

Error message Fix
“File size should be between 20 KB and 50 KB” Set Min 20 and Max 50 in the resizer
“Image dimensions are invalid” Type the exact width and height from the notice
“Please upload PDF only” Turn a photo of the certificate into a PDF with JPG to PDF, then compress
“File too large” for a multi-page certificate Compress to the limit; if it still won’t fit, remove blank pages with Delete pages

Before you submit

  • Use a recent photo with a plain light background, as the notice usually requires.
  • Sign on plain white paper in black or blue ink, and photograph it in good light.
  • Open the final file once to check it is readable.
  • Keep a copy of every file you uploaded.

Questions

Why does the form reject my photo even though it is under the size limit?

Many portals also have a minimum size, a required pixel size and a file type. A 6 KB signature can be rejected when the minimum is 10 KB. Check all three rules, not only the maximum.

Should I upload a JPG or a PDF?

Photos and signatures are almost always JPG or JPEG. Certificates, caste documents and marksheets are usually PDF. The notice for your exam says which.

Are these limits official?

They come from recent notices and coaching-site summaries listed under each row. Rules change between years and posts, so always confirm in your own notification before submitting.
