By the PDFToast team · Updated 15 October 2026
To turn a bank statement PDF into Excel, open PDF to Excel, add the statement, pick Bank statement mode and download the XLSX. You get clean Date, Description, Debit, Credit and Balance columns, Indian amounts like 1,23,456.78 become real numbers, and the totals are checked against the closing balance. The statement is converted in your browser and never uploaded.
First: can your bank give you Excel directly?
If you can log in to net banking, check the download options before converting anything. Many Indian banks offer an Excel or XLS download next to PDF. For example, guides for SBI and ICICI describe choosing PDF or Excel/XLS when you download a statement in net banking. That file needs no conversion.
You need a converter when all you have is the PDF:
| Situation | Why it’s PDF-only |
|---|---|
| Monthly e-statement from email | Banks email statements as password-protected PDFs |
| Statement for a loan, visa or rent application | You were given a PDF, not net banking access |
| Old or closed account | Net banking no longer shows it |
| Statement from a branch or another person (CA, family member) | Shared as a PDF file |
| Credit card statement | Usually only offered as PDF |
How to convert a bank statement PDF to Excel
- Open PDF to Excel on your phone or computer.
- Add the statement PDF. If it asks for a password, type it in (see the table below if you don’t know it).
- Choose Bank statement mode and XLSX (or CSV if your accounting software wants it).
- Tap Convert to Excel and download the file.
- Read the totals note. “Totals check passed” means opening balance + credits − debits equals the closing balance, so no row was missed.
If the check fails, the tool tells you how far off the closing balance is and how many rows break the running balance. Compare those rows with the PDF; it’s usually a description that wrapped onto two lines.
What you get in the sheet
| Column | What happens to it |
|---|---|
| Date | Becomes a real Excel date, so you can sort and filter by month |
| Description / Narration | Kept as text, with wrapped lines joined |
| Debit / Withdrawal | A number, ready for SUM |
| Credit / Deposit | A number, ready for SUM |
| Balance | A number; “Cr” and “Dr” suffixes are handled |
Bank statement mode looks for a header row with words like Date, Narration, Withdrawal, Deposit and Balance, including Indian and Hindi-English headings. Statements from SBI, HDFC, ICICI, Axis, Kotak and most other banks use this kind of layout.
If the statement is password-protected
Indian banks send e-statements as locked PDFs. You can type the password straight into PDF to Excel, or remove it first with Unlock PDF. The password is usually built from your name, date of birth, customer ID or account number:
| Bank (emailed account statement) | Commonly reported password pattern |
|---|---|
| SBI | Last 5 digits of registered mobile + date of birth as DDMMYY |
| HDFC Bank | Customer ID |
| ICICI Bank | First 4 letters of name + date of birth as DDMM |
| Kotak Mahindra Bank | CRN (Customer Relationship Number) |
These are reported patterns, not official ones, and they differ for credit card statements. Our bank statement PDF password guide lists more banks with sources, and the e-PAN and income tax PDF password guide covers Form 16, 26AS and AIS.
If you only have a scanned or photographed statement
A scan is a picture, so there is no text for any converter to read. Do this instead:
- Run OCR PDF on the scan (English or Hindi).
- Convert the OCR result with PDF to Excel.
- Check the totals note. OCR can misread a digit, so the balance check matters more here.
Got a paper statement? Scan to PDF with your phone first, in good light and black and white.
Useful things to do once it’s in Excel
- Monthly spend: a pivot table on Date (grouped by month) and Debit.
- Find a payment: filter Description for “UPI”, “NEFT”, “IMPS” or a name.
- Income tax: sum Credit for interest entries (“INT”, “Int.Pd”) to cross-check your AIS.
- Share safely: if a landlord or lender only needs proof of salary, send them a PDF with the other rows hidden using Redact PDF, not your whole spreadsheet.
Why not use any free converter?
A bank statement holds your account number, balance, salary and every UPI contact. Many free PDF-to-Excel sites upload the file to their servers to convert it. PDFToast does the conversion inside your browser, so the statement stays on your device. Here’s how to check any PDF site yourself.
The free plan includes 10 PDF to Excel conversions a day. PDF to Excel is in beta: simple statements convert cleanly, while unusual layouts with merged cells may need some tidying. If a statement won’t convert, try Every line as a row mode to get all the text into a sheet.
Questions
How do I convert a bank statement PDF to Excel for free?
Open PDFToast's PDF to Excel tool, add the statement, enter its password if it has one, choose Bank statement mode and XLSX, then convert. You get Date, Description, Debit, Credit and Balance columns with real numbers and dates. It runs in your browser, so the statement is not uploaded.
Why does my bank statement PDF not convert?
Usually because it is a scan or a photo, so there is no text to read. Run OCR PDF first, then convert. If the layout has no clear header row, try the 'Every line as a row' mode and tidy it in Excel.
Is it safe to convert a bank statement online?
Many converters upload your statement to their servers. PDFToast converts it inside your browser, so your account number and transactions stay on your device. You can turn off Wi-Fi after the page loads and it still works.
